The Executive Assistant provides strategic, secretarial, and logistical support to the Country Manager. They provide high-level coordination and support directly to their Manager including the facilitation of prompt, courteous, and effective communication channels with stakeholders, and also serve as a conduit between the leaders and Insight’s wider teammate population. The Executive Assistant manages every aspect of their Manager’s day whilst exercising confidentiality, tact, and diplomacy. They also ensure the smooth and effective management of the leadership support function, allowing the leaders to focus on the more strategic and pertinent aspects of their roles.

 

KEY DUTIES & RESPONSIBILITIES

 

Scheduling & Calendar Management

• Coordinate scheduling requirements and proactively manage time with respect to priorities, goals, and objectives.

• Responsible for full email management, ensure all responses are dealt with in a timely manner whilst nurturing positive relationships with key stakeholders.

• Provide a dual ‘gatekeeper/gateway’ role, manage competing demands with a high degree of confidence and professionalism, and handle matters expeditiously.

Internal & External Communications

• Prepare, draft, and execute correspondence on behalf of the Manager, streamlining communications to ensure the leader is organised in the most productive way.

• Show a high degree of discretion when it comes to dealing with sensitive and or confidential matters.

Planning & Executing Meetings

• Develop a sound understanding of organisational and the Manager’s objectives, goals and KPIs.

• Arrange and participate in SLT meetings including arranging logistics, setting agendas, taking minutes, owning actions, and ensuring completion of items.

Event Planning

• Work cross-functionally with internal and external vendors to organise events including scheduling agendas, briefing participants, and arranging venues, catering, and or logistics.

• Support all activities in relation to the onboarding of new SLT members including arranging and or overseeing training and induction.

Project Management

• May be required to lead on a range of projects from start to finish, provide progress updates, and flag any issues that may impact agreed project timelines.

• Act as the ‘Project Manager’ and help to execute any special projects at the request of the assigned leader.

Travel & Expenses

• Responsible for arranging frequent and often complex travel arrangements.

• Responsible for processing expense claims, compile reports, process invoices, and track payments in line with expense policies and submittal deadlines.

In addition to the above key duties and responsibilities the Executive Assistant may be required to:

• Lead monthly community calls to drive best practice and create an environment for success through good communication and team building.

• Teach, train, coach, and mentor teammates; promoting teammate satisfaction and enabling career progression.
 

SKILLS AND EXPERIENCE

  • Previous experience as an Executive Assistant in a multinational technology company
  • Experience with Organizational Transformation projects (People/Process)
  • Fluent in English and Spanish
  • Excellent communication skills and ability to interact with colleagues and stakeholders at all levels
  • Extremely organized and capable of managing multiple tasks efficiently and accurately
  • Able to manage both your own time and that of the executive, efficiently planning meetings, appointments, and travel
  • Being flexible and able to quickly adjust to changes in schedules and priorities
  • Taking the initiative to anticipate the Executive’s needs and acting proactively to ensure everything is managed efficiently
  • Proficient in using productivity tools and software to manage daily activities efficiently.
