As an Event Specialist you will get to:
- Outline and manage event timelines and milestones
- Meet with key event stakeholders to understand goals and objectives as well as budget
- Submit creative requests related to event needs and provide updates for creative teams to design, write or create needs.
- Review, negotiate and coordinate signing of event related contracts.
- Work with 3rd party companies including but not limited to venues, event planning companies, DMCs, booth management organizations and hotel event staff where appropriate.
- Build registration pages and manage throughout the process including gathering invite lists, updating emails and invitations, managing RSVP’s and event reporting.
- Ensure event items are ordered and shipped to the event site which include but not limited to swag/giveaways, event or office supplies, audio visual tools, etc.
- Coordinate and indirectly manage the volunteers who are assisting with the event; ensure they have a schedule, training on area of responsibility, etc.
- Communicate regularly with event stakeholders/committee and other marketing teams (internal communications, PR, brand, etc.) in relation to key messages about the events.
- Regularly lead or assist with event-planning meetings with key event stakeholders to ensure alignment with executive/leadership throughout the planning process.
- Build event budgets, track expenses and investment throughout the process. Reconcile post-event to reflect actual costs including submitting invoices for payment, manage credit card postings for reconciliation along with entering data into marketing budget, accruals, etc.
- Conduct debrief meeting(s) to recap lessons learned and share ROI reporting.
- Work closely with cross-functional teams to ensure seamless coordination of event logistics – both for in-person and virtual or hybrid events.
- Maintain brand standards and ensure integration of all communications
- Coordinate, manage and maintain branding and production of tradeshow equipment and branding tools (booth components, posters, outdoor banners etc.)

We are looking for an Event Specialist with:
- A great attitude and previous experience in building relationships and influencing different stakeholders within an organization;
- At least 3 years’ experience with marketing campaigns in a corporate environment and event planning (client facing briefings and corporate events);
- The ability to effectively present information and respond to questions from groups of managers, clients and teammates (you use PowerPoint and Excel with ease);
- Strong communication skills (verbal and written) in both official languages;
