Front Desk Associate/ Receptionist

Position Overview 

The Front Desk Associate will be the primary gatekeeper of the company. This person will be responsible in providing administrative support for guests and employees, inventory control, record management, and workplace safety. 

What you’ll do at Insight 

  • The Front Desk Associate will be responsible for developing efficient practices to serve business needs.    

  • Guest relations 

  • Welcomes visitors and endorses them to the correct department or employee. 

  • Answers and direct phone calls accordingly. 

  • Ensures visitors are properly attended to from entry all the way to their exit. 

  • Arranges hotel accommodation if needed. 

  • Assigns and prepares room or workstation setup. 

  • Assists on any other needs such as water, food and transportation. 

  • Receives, sorts and distribute (if applicable) vendor deliveries. 

  • Document management 

  • Operates standard office equipment such as printer and photocopier, and coordinates with vendors for repairs. 

  • Records all visitor concerns and other transactions or activities that goes thru reception.  

  • Maintains an organized filing system of employee, guest and vendor documents. 

  • Uploads and categorizes documents to respective storages or cloud drives. 

  • Office entryway-lobby-reception office maintenance 

  • Maintains the said areas in a clean and presentable manner. 

  • Coordinates with maintenance for cleaning and repairs. 

  • Upholds the office safety standards in coordination with security. 

  • Building admin coordination 

  • Processes work permits and gate pass for the contractor’s works and supplier’s deliveries. 

  • Reports building issues such as leaks, water supply, power outage, etc. to the Property Supervisor and follows up until resolved. 

  • Coordinates with the affected department leads if building has any activities that might affect operations such as the monthly generator testing, building entry requirements, parking rules changes, etc. 

  • Teammate support 

  • Coordinates on any arrival/pick-up/delivery of equipment, HR/payroll related documents, and other work-related devices. 

  • Manages and schedules meeting & conference room reservations and requirements. 

  • May serve as liaison between Admin-HR-Payroll and the employees on documentary requirements. 

  • Aids during emergencies from evacuation, lodging, food, or transportation assistance. 

  • Company collaterals 

  • Updates digital signages and bulletin boards. 

  • Print, cut, distribute flyers, cards, IDs, and other printable assets whenever needed. 

  • Facilities and housekeeping 

  • Assigns and reviews the facility staff’s day to day cleanliness outputs. 

  • Determines facilities issues and collaborates with them for resolutions. 

  • Educates the staff on any company updates and requirements all the way to completion. 

  • Event management 

  • Brainstorms and plans for games and activities. 

  • Other duties as assigned. 

What you’ll need to join Insight 

  • Bachelor’s Degree in Office Administration or related field, from four-year College or University. 

  • Able to thrive in an environment characterized by rapidly changing requirements and an ongoing focus on meeting operational objectives. 

  • Strong interpersonal skills. 

  • Personable and customer-service oriented. 

  • Proficient in written and verbal English communications skills. 

  • Highly organized and detail oriented. 

  • Able to successfully manage multiple priorities under pressure. 

  • Proven ability to communicate effectively across all levels of the organization. 

  • Strong commitment to company values and operating principles. 

Preferred 

  • Experience in front desk support in a BPO setting and other related experience.

  • Regular, predictable attendance is required; including quarter-driven hours as business demands dictate.
