About the role
As a Front Desk Associate, you will serve as the primary gatekeeper of our organization, providing exceptional administrative support to guests and employees. You will be responsible for guest relations, document management, office maintenance, and facilities coordination. This role is critical to creating a welcoming environment while ensuring operational efficiency, safety compliance, and seamless day-to-day business continuity.
Along the way, you will get to:
- Welcome visitors and direct them to appropriate departments or employees with professionalism and courtesy
- Answer and route phone calls efficiently while maintaining accurate records of all inquiries
- Manage visitor flow from entry through exit, ensuring proper check-in procedures and security compliance
- Coordinate hotel accommodations, workstation setup, and support services for guests and employees
- Receive, sort, and distribute vendor deliveries while maintaining inventory control
- Operate office equipment (printers, photocopiers) and coordinate vendor repairs and maintenance
- Maintain organized filing systems and upload documents to cloud storage with proper categorization
- Keep reception, lobby, and entryway areas clean, presentable, and compliant with safety standards
- Process work permits and gate passes for contractors and suppliers
- Report building issues to Property Supervisor and follow up until resolution
- Coordinate with department leads on building activities that may affect operations
- Support equipment arrivals, HR/payroll document delivery, and emergency response coordination
- Manage meeting and conference room reservations and requirements
- Update digital signages, bulletin boards, and print company materials as needed
- Oversee facility staff cleanliness outputs and collaborate on facility issue resolutions
- Support event planning and other duties as assigned
What we're looking for
- Bachelor's Degree in Office Administration or related field from a four-year college or university
- Minimum 1–2 years of experience in front desk support, administrative services, or customer-facing roles
- Strong interpersonal and customer service skills with a personable demeanor
- Proficient in written and verbal English communication
- Highly organized, detail-oriented, and able to manage multiple priorities under pressure
- Proven ability to communicate effectively across all organizational levels
- Able to thrive in a rapidly changing environment with a focus on operational objectives
- Strong commitment to company values and operating principles
- Amenable to work on a flexible schedule in a hybrid work setup
Nice to have:
- Experience in front desk support in a BPO or corporate office setting
- Familiarity with facility management systems or building operations
- Experience coordinating events or managing multiple concurrent projects
