This opportinity is based on-site at Insight’s APAC Headquarters in the Sydney CBD. The building is a landmark office tower that includes the historic Grafton Bond Building. About the role

 

Leadership: The Manager for this role is Jean Tivoli, based in Sydney she leads our Facilities Maintenance & real estate services for the APAC region. Jean is a dedicated Leader and is intent on keeping our portfolio in line with industry standards while leading and mentoring her team to provide the required services to the business.

 

As a Facilities and Maintenance Co-ordinator you will be reponsible for the the day to day management of APAC facilities (Australia, NZ and Singapore) on a preventative and reactive basis including the maintenance of hard and soft maintenance services such as mechanical, electrical, hydraulic, electronic and soft services of kitchen and cleaning services.

Along the way, you will get to:

  • Work with Facilities Manager to plan, implement and manage the preventative maintenance schedule for all sites
  • Implement preventative maintenance works liaising with site contact staff and building management for access
  • Review and resolve reactive maintenance having the ability to assess and scope remedial works for Insight Australia and New Zealand as required in a timely and cost effective manner
  • Engage contractors for repairs and maintenance ensuring tradesman are suitably qualified and inducted as required per site including Building entry rules, SWMS and where relevant, permits for the job type including hot works, wet works, working at heights or confined spaces
  • Maintain current access control registers per site and program cards applying the access control procedures across APAC for permanent and visitor cards to meet and retain ISO 27001
  • Manage the Facilities inbox and log maintenance requests with the respective site landlord’s maintenance portals and track works to completion
  • Manage warden training per site and be an active warden advocate for Head Office ensuring current warden records are retained for all sites
  • Assist the Facilities Manager with new site planning and relocations as required

We are looking for a Facilities Co-ordinator with the following capabilities:

  • Multisite maintenance management in a corporate environment or similar industry
  • Minimum five years experience in a similar role
  • Ability to respond effectively to sensitive enquiries/complaints and provide quality customer service
  • Adept in verbal and written communication
  • Skill in planning, organising and managing time across multiple tasks for multiple sites and work tactfully to achieve desired maintenance outcomes from a remote location to meet customer needs
  • Ability to achieve measurable results and deadlines
  • Ability to work in a fast-paced environment
  • Knowledge of PC software including Excel, Word, PowerPoint and quick to adapt to various landlord portals for maintenance and general site communications to tenants
