Executive Assistant

Position Overview

 

The position of Executive Assistant provides executive administrative support to the assigned Insight Executive(s). The incumbent will regularly plan and manage the day-to-day tasks at the direction of their assigned Insight Executive. The incumbent will exude a strong work ethic, with a focus on accuracy and timeliness. The Executive Assistant will report performed additional duties assigned by his/her assigned Insight Executive.

 

What you’ll do at Insight

  • Manages the assigned Executive’s calendar and proactively organizes his/her time as required, based on availability and preference of Executive.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
  • Assists with meeting set up, including video conferencing and audio.
  • Reads and routes incoming mail. Locate and attach appropriate file(s) to correspondence to be answered by the Executive.
  • Composes and types routine correspondence.
  • Organizes and maintains file system and files correspondence and other records.
  • Answers and screens telephone calls. Arranges conference calls.
  • Coordinates executive’s schedule and/or makes appointments.
  • Manages and coordinates all travel arrangements, including air and ground.
  • Greets scheduled visitors and directs to the appropriate area or person.
  • Conducts research, and compiles and types statistical reports.
  • Makes copies of correspondence or other printed materials.
  • Prepares outgoing mail and correspondence, including email, fax, and postal mail.
  • Orders and maintains supplies and arranges for equipment maintenance.
  • Performs general office duties and miscellaneous tasks as assigned.
  • May be asked to participate in special committees to benefit the improvement of the department or company.

 

What you’ll need to join Insight

 

  • Two-year college degree preferred; or 5-7 years of related experience and/or training; or equivalent combination of education and experience.
  • Ability to effectively present information and respond to questions and/or issues from suppliers, management, and other teammates.
  • Strong client service skills and commitment to meet or exceed client requirements.

  • Ability to understand and respond to client needs.
  • Excellent organizational and multi-tasking skills required.
  • Strong Microsoft Office skills with a focus on Excel, Teams, PowerPoint, SharePoint, and various video conferencing/collaboration solutions (Webex, Teams, Zoom & others).
  • Previous SAP experience a plus.
