Salary: Depending on experience, the salary is up to $60,000 CAD a year

As a Building Services Administrator, you will serve as the primary Facilities point of contact for the Toronto office, supporting day-to-day facilities operations, vendor coordination, office services, and employee requests. This role works closely with Canadian and U.S. Facilities teams to ensure a professional, safe, and well-maintained workplace environment. You will coordinate facilities-related service requests, manage vendor relationships, support office operations, and provide exceptional customer service to internal teammates, visitors, and external partners.

 

Primary Responsibilities

  • Serve as the primary Facilities contact for the Toronto office.
  • Support additional Canadian office locations as Facilities requests are received.
  • Manage and coordinate vendor services, including:
    • Building maintenance
    • Plumbing
    • Electrical and lighting repairs
    • General facilities services
  • Review, route, track, and follow up on Facilities requests through ServiceNow.
  • Coordinate incoming and outgoing shipments, deliveries, and mail distribution.
  • Assist with day-to-day office operations and administrative support activities.
  • Provide professional front-facing support to employees, visitors, and vendors.
  • Provide reception lunch coverage as needed.
  • Partner with Facilities teams across Canada and the United States to ensure timely resolution of requests.
  • Maintain accurate records of vendor activity, work orders, and service requests.
  • Support workplace initiatives and facilities projects as assigned.
  • Help ensure facilities services are delivered efficiently and in accordance with organizational standards.

 

Qualifications

  • High school diploma with 4+ years of related experience, or a bachelor's degree with 1-2 years of related experience, or an equivalent combination of education and experience.
  • Previous experience in Facilities Administration, Facilities Coordination, Office Services, Executive Administration, Workplace Services, or a related field.
  • Experience managing vendor relationships and coordinating service providers.
  • Exposure to ServiceNow or similar ticketing systems preferred.
  • Strong organizational, prioritization, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Strong customer service orientation with the ability to support multiple stakeholder groups.
  • Ability to work independently in a fast-paced environment.
  • Professional demeanor in an executive-facing office setting.

 

Preferred Qualifications

  • Executive Assistant or Executive Administrator experience.
  • Facilities certifications such as:
    • FMP (Facilities Management Professional)
    • CFM (Certified Facility Manager)
